Plan CRM integration and call recording around your workflow.
A listed capability is a starting point. Confirm the licence, account, implementation and data lifecycle needed by your business.
Start with the business action
Explain what staff need to do when a call arrives or ends: identify a customer, open a contact, create a call activity or follow up a queue result. Identify the exact CRM, account edition and people who need access. The LinkusPBX source lists CRM/API capabilities and examples such as HubSpot, Zoho and Salesforce; supported combinations and conditions need confirmation.
Confirm the integration scope
- Required phone-system and third-party licence tiers.
- Supported fields, matching rules and expected call activity.
- Administrator permissions, authentication and who maintains the connection.
- Implementation work, third-party fees and acceptance tests.
- Failure handling when the CRM or integration is unavailable.
Recording allowance and retention differ
Office packages list 500 recording minutes. Call-centre plans list shared storage. Neither number alone describes how long a recording is retained or whether an allowance resets. Backup retention is also distinct from the retention of accessible recordings.
Before ordering, confirm recording triggers, user permissions, storage limits, retention, export and deletion procedures. Decide how your business handles notice, consent where applicable and its own data policies. Requirements need review for the intended workflow.
Test with a representative workflow
Use approved test contacts and non-sensitive test calls to check matching, activity creation, access and recording retrieval. Document who accepts the result and who owns ongoing administration. Do not submit customer recordings or credentials through the website chat.
Compare Enterprise and Ultimate capabilities, then request integration scoping.
Discuss your requirements
An integration acceptance record
For each required workflow, record the exact edition and configuration being assessed, the result and the person who accepts it. Use approved test contacts and non-sensitive calls.
| Workflow | Evidence to request | Owner to identify |
|---|---|---|
| Incoming caller matching | Test record and expected matching behaviour | CRM administrator |
| Call activity record | Agreed fields and a demonstrated result | Business process owner |
| Recording access | Which test roles can access which files | Data owner |
| Retention and export | Written lifecycle and demonstrated approved procedure | Data owner and implementation team |
| Integration unavailable | Agreed failure behaviour and recovery procedure | Support owner |
Record pass, follow-up or not in scope for each requirement. Keep passwords, real customer recordings and authentication details out of shared worksheets. This record does not establish licence entitlement or legal compliance.
