Phone systems for tuition, enrichment and education centres

Tuition and enrichment centres handle parent enquiries, schedule changes and fee questions, often with a small front-desk team and teachers in class. A cloud PBX can make sure parents reach someone and that no enquiry is lost. These are planning examples, not customer case studies.

What makes education calling different

  • Peaks around term start, holidays and exam periods. Enquiry volume rises sharply for a few weeks, then settles.
  • Front desk is also doing admin. The person answering phones is often also handling walk-ins, payments and attendance.
  • Teachers are in class. They cannot answer calls during lessons but still need to return parents' calls.
  • Evening and weekend lessons. Many centres are busiest after school hours and on Saturdays.
  • Personal data about children. Calls and recordings can contain information about minors, so handling needs care.

A simple call flow for a centre

  1. Greeting with the centre name and opening hours.
  2. A short menu: 1 for new enrolment enquiries, 2 for existing students and schedule changes, 3 for fees and accounts.
  3. New enquiries ring the front desk first, then overflow to a second staff member or the centre manager's mobile app if unanswered.
  4. Outside opening hours: a message with hours and the option to leave a voicemail, which is emailed to a shared inbox so it is picked up first thing.

Keep the greeting short. Parents calling between errands will hang up on a long menu.

Handling term-start peaks

A call queue can hold callers briefly with a message rather than letting the line ring out. You can add staff to the queue for the busy weeks and remove them later, without changing hardware. Missed-call reports show the hours when calls are lost, so you can adjust desk cover. For bigger peaks, consider whether more concurrent calls are needed; read extensions vs concurrent calls.

Teachers and callbacks

Teachers can have their own extension on the Linkus mobile or desktop app, with do-not-disturb during lessons. Parents' calls go to the front desk, which can transfer or take a message. When teachers return calls from the app, the parent sees the centre's number rather than a personal mobile, subject to carrier caller ID rules. If a teacher leaves, the extension is disabled and the parent relationship stays with the centre.

Several branches, one number

Centres with two or more branches often publish one main number. A menu or time-based rule can send callers to the right branch, and each branch can still have its own direct line. Staff can transfer calls between branches using internal extensions. Each branch needs its internet connection checked; see the network readiness checklist.

Messages as well as calls

Many parents prefer messaging. WhatsApp and SMS messaging in the Linkus apps are available depending on plan, so the front desk can answer from a shared view rather than one phone. See Teams & WhatsApp integration. Meta message fees are separate and quoted after scoping.

Recording and personal data

If you record calls, tell callers in the greeting, limit who can listen to recordings, and set a retention period consistent with your PDPA policy. Avoid recording more than you need, especially calls involving children's details. Recordings are a training and dispute tool, not a substitute for proper student records.

Devices and setup

Most centres need only a desk phone or headset at reception and the apps for everyone else. Classrooms rarely need phones. Existing SIP phones may be reusable after a compatibility check; see IP phones and headsets.

Cost

LinkusPBX office packages start at SGD 39 per month for CP10 (10 extensions, 4 concurrent calls), on an annual commitment. SIP trunk, numbers and call charges are quoted per customer. Setup, number porting and devices are quoted case by case. See prices and packages.

Frequently asked questions

Can teachers return parents' calls without using their personal numbers?

Yes. With the Linkus app, teachers call from their extension, and the parent sees the centre's number, subject to carrier caller ID rules.

How do we cope with term-start enquiry peaks?

Use a call queue with overflow to a second staff member or a manager's app, add staff to the queue during busy weeks, and review missed-call reports. If peaks are large, check whether more concurrent calls are needed.

Should a tuition centre record calls?

Only if it serves a clear purpose such as training or resolving disputes. Inform callers, restrict access and set a retention period in line with your PDPA policy.

Can we see it before we buy?

Yes. We can arrange a demo, and a paid service starts after you accept a written quotation.
