Match the phone-system design to the work your team does.

These are planning examples, not customer case studies. Each design still needs assessment of capacity, devices and carrier service.

Hybrid office and professional services

Staff working between an office and other locations may need the same extension on supported desktop, mobile or web clients. Start with who answers the main number, how reception transfers calls and what happens outside the business’s own hours.

Plan headset and client testing, account administration and continuity arrangements. Explore office calling and capacity sizing.

Trading office and workshop

Shared desk phones, noisy work areas and legacy analog equipment can change the device requirement. Assess each answering location and any gateways before assuming the current phones can be reused.

Test pickup, transfer and missed-call handling using the staff and environment involved. If the existing number must remain reachable, coordinate the migration and fallback plan.

Customer support and sales queues

A support queue needs assessment of peak conversations, answering roles, overflow and reporting. Unlimited extensions do not mean unlimited simultaneous conversations. Identify any CRM workflow and recording requirement before choosing a licence tier.

Compare the call-centre packages and scope integrations and recording.

Choose from requirements rather than an industry label

Provide locations, staff roles, peak demand, current carrier and rollout target. A documented call flow and acceptance checklist are more useful than selecting a package solely from company size.

Example call flows

These are illustrations to help you describe your own requirement. They are not customer case studies.

Reception-led office (about 15 staff)

  1. Calls to the main number ring reception's desk phone.
  2. If unanswered after about 20 seconds, they ring a backup group.
  3. Outside hours, callers hear opening hours and can leave voicemail, which is emailed to a shared inbox.
  4. Staff have direct extensions on the Linkus apps for transfers and callbacks.

Sales and support split (about 30 staff)

  1. A short menu: 1 for sales, 2 for support, 3 for accounts.
  2. Support uses a call queue with a hold message and overflow to supervisors.
  3. Sales calls ring a group and log in the CRM where an integration is available on your plan.
  4. Queue and missed-call reports are reviewed weekly.

Small multi-site business

  1. One published number; a menu or time rule sends callers to the right site.
  2. Each site has its own direct line and internal extensions.
  3. Staff transfer calls between sites using internal extensions.

Questions that shape the design

  • Who answers first, and what happens if they are busy?
  • Which calls must reach a person, and which can go to voicemail?
  • How many external calls happen at the busiest moment?
  • Which staff work away from a desk?
  • Do you need recording, reporting or CRM logging?

Turn your example into a brief

Once you recognise your situation, write a one-page brief: the numbers callers use, who answers first, what happens when they are busy or away, your opening hours, the staff who work remotely, and any recording or CRM requirement. Add your busiest hour and roughly how many calls happen at once. With that brief, providers can quote like for like, and you can test the finished system against it before switching numbers. We are happy to help you write it during a first call.

Frequently asked questions

Are these real customer examples?

No. They are planning examples to help you describe your requirement. We do not publish customer case studies on this page.

Can one phone system cover several sites?

Yes. A cloud PBX can serve several sites with internal extension dialling, provided each site has a suitable internet connection.

How do I know how many concurrent calls I need?

Count external conversations at your busiest moment. Our capacity guide explains how to estimate it.

Can the call flow change after go-live?

Yes. Menus, ring groups, queues and opening-hours rules can be adjusted in the admin portal as your team changes. We recommend reviewing reports after the first few weeks.

Find a phone-system plan

Three short questions. No contact details needed to see a recommendation.

External telco capacity is sized separately. We confirm exact capacity usage during scoping.
