Phone systems for property and real estate agencies
Property work happens on the move: viewings, site visits and client meetings. Agencies and team leaders need enquiries answered quickly and client relationships kept with the business. A cloud PBX such as LinkusPBX supports that. These are planning examples, not customer case studies.
Common challenges
- Agents are rarely at a desk. Enquiries arrive while they are at viewings or driving.
- Personal mobile numbers on listings. When an agent moves on, enquiries and history can go with them.
- Several campaigns at once. New launches, resale listings and rentals all generate calls, and it is hard to tell which advert worked.
- Outbound calling rules. Marketing calls must respect Singapore's Do Not Call (DNC) provisions under the PDPA.
Agents on the Linkus app
Each agent can have an extension on the Linkus mobile app, with the desktop or web app in the office. Calls to an agent's direct number ring the app wherever they are. Outbound calls can show a business number rather than a personal mobile, subject to your carrier's caller ID rules. If an agent leaves, you disable the extension and reassign the number, so clients still reach the agency.
Hotlines for projects and campaigns
Where your carrier provides additional numbers, you can assign one number per project, campaign or listing type. Each number can route to a different ring group or team leader, and call reports then show how many calls each one produced. That gives you a simple, factual view of which channel generates enquiries, without guessing. Additional numbers are quoted by the carrier per customer.
Answer every enquiry
- Ring groups: a new enquiry rings several agents at once, or in order, so the first available person answers.
- Overflow and voicemail: if nobody answers, the call goes to a coordinator or to voicemail emailed to a shared inbox.
- Time-based routing: evening and weekend calls can go to the on-duty agent's app.
- Missed-call follow-up: missed-call reports make it easy to call back the same day.
CRM and call records
If your agency uses a CRM, an integration can show who is calling and log calls against the contact record. Supported options include HubSpot, Zoho, Salesforce, Bitrix24, Odoo and Microsoft Dynamics 365, depending on plan. Call recording can help with training and with confirming what was agreed; inform callers that calls may be recorded and set a retention period that matches your PDPA policy. See CRM and call recording.
Responsible outbound calling
A phone system does not decide who you may call. Before marketing calls to Singapore numbers, agencies need to check the DNC Registry where required and keep consent records. Build those checks into your CRM or calling process. We can configure the phone system; compliance with the PDPA and DNC rules remains with the agency.
Messaging
Buyers and tenants often prefer WhatsApp. WhatsApp messaging in the Linkus apps is available depending on plan, so a team can share one business WhatsApp number instead of each agent using a personal account. Meta message fees are separate and quoted after scoping. See Teams & WhatsApp integration.
Office setup
A small office may need only a reception phone and the apps. Larger agencies can add desk phones for team leaders and a call queue for a central enquiry line. Check office Wi-Fi and mobile data in the places agents work most; see the network readiness checklist.
Sizing and cost
Count agents who need an extension and estimate the busiest number of simultaneous calls. LinkusPBX office packages run from CP10 at SGD 39 per month to CP90 at SGD 329 per month, on an annual commitment. SIP trunk, numbers and call charges are quoted per customer, and setup, porting and devices are quoted case by case. See prices and packages.
Frequently asked questions
Can agents keep using their mobiles?
Yes. Agents use the Linkus mobile app on their own smartphones, but calls and the number belong to the agency extension, so client relationships stay with the business.
Can we tell which campaign produced a call?
If you use a separate number per campaign or project, call reports show how many calls each number received. Extra numbers are provided by the carrier and quoted per customer.
Does the phone system handle DNC compliance?
No. The agency remains responsible for checking the DNC Registry where required and keeping consent records. We can configure the phone system to support your process.
Can we see it before we buy?
Yes. We can arrange a demo, and a paid service starts after you accept a written quotation.
